Grantranslator is a grant discovery and intelligence platform. We aggregate publicly available federal funding opportunities from Grants.gov and use artificial intelligence to generate plain-language summaries, keyword tags, discipline classifications, and restriction highlights (“Gotcha Warnings”).

What We Do:

Search, summarize, and surface funding opportunities as a research starting point.

What We Don’t Do:

We do not accept, process, or submit grant applications. We do not provide legal, financial, compliance, or grant-writing advice. We do not verify eligibility or guarantee the accuracy of any information. We do not represent any government agency.

§2. AI-Generated Content

Summaries, keywords, discipline classifications, and Gotcha Warnings on this platform are generated automatically by artificial intelligence. No AI-generated content on this platform has been individually reviewed by a human editor.

AI-generated content may contain errors, including but not limited to:

  • Incorrect deadlines (wrong dates, missing deadline types, outdated information)
  • Mischaracterized eligibility (incorrect citizenship requirements, career stage errors, institution type mistakes)
  • Inaccurate funding amounts (wrong award ceilings, misstated budget limits, incorrect duration)
  • False positives in Gotcha Warnings (flagging restrictions that don’t exist)
  • False negatives in Gotcha Warnings (failing to flag restrictions that do exist)
  • Other inaccuracies not listed above

§3. Data Sources and Accuracy

Grant opportunity data is sourced from federal government systems including the Simpler.grants.gov API, NIH RePORTER, and NSF Awards. This data is:

  • Refreshed periodically (typically daily; actual refresh frequency may vary)
  • Subject to upstream delays (changes made by agencies may not be reflected immediately)
  • Not independently verified by Grantranslator
  • Subject to transformation (data is normalized, reformatted, and re-presented for display; the displayed record may differ from the original source)
  • Retained for a limited period after closure (closed opportunities may remain visible and may contain outdated information)

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, GRANTRANSLATOR AND ITS OPERATORS, CONTRIBUTORS, AND AGENTS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF PROFITS, REVENUE, DATA, FUNDING, AWARD OPPORTUNITIES, BUSINESS OPPORTUNITY, OR GOODWILL, ARISING OUT OF OR RELATED TO YOUR USE OF OR RELIANCE ON THE SERVICE OR ANY CONTENT (INCLUDING AI-GENERATED CONTENT AND GOTCHA WARNINGS), EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, OUR AGGREGATE LIABILITY FOR ALL CLAIMS SHALL NOT EXCEED THE GREATER OF (A) THE AMOUNT YOU PAID FOR THE SERVICE OR (B) ONE DOLLAR ($1.00 USD).

§8. Gotcha Warning Disclaimer

Gotcha Warnings Are Not Exhaustive

“No gotchas detected” does not mean this opportunity has no restrictions or unusual requirements. Do not assume that the absence of a warning means no restrictions exist. Our AI and rule-based detection is a best-effort screening tool that may miss:

  • Recently-added or amended requirements
  • Restrictions stated in referenced documents, appendices, or agency-wide policies
  • Unusual or novel eligibility constraints
  • Requirements specific to certain applicant types, institutions, or geographic regions
  • Requirements in non-text attachments (PDFs, images, spreadsheets)

Gotcha Warnings are heuristic flags for further investigation — not a compliance check, eligibility determination, or guarantee of completeness. Always read the full FOA/NOFO, including all referenced documents, amendments, and agency-specific terms and conditions.

§9. AI Transparency

Grantranslator uses artificial intelligence to analyze grant opportunities. Our current AI providers include:

  • Anthropic — Large language models for generating summaries, keywords, classifications, and Gotcha Warnings. If we introduce conversational chat features in the future, these would also be powered by Anthropic (or similar LLM providers).
  • Cohere — Embedding models used for semantic search, including matching your Grant Alert profile description against opportunity text to surface personalized recommendations.

What AI Does Well:

  • Condensing lengthy FOA documents into readable briefs
  • Extracting explicitly stated deadlines, funding amounts, and eligibility criteria
  • Identifying common restriction patterns (citizenship, career stage, institution type)
  • Suggesting relevant discipline classifications

Where AI Falls Short:

  • May produce inaccuracies, including information not present in the source text
  • Can miss restrictions, especially those in referenced documents or attachments
  • May misclassify novel or unusual eligibility criteria
  • Cannot parse non-text content (PDF attachments, images, spreadsheets)
  • Cannot verify information against sources outside the provided text
  • Performance varies depending on the complexity and formatting of the source document

Our Quality Measures:

  • Structured output validation (required fields, format checks)
  • Rule-based pre-screening for common restriction patterns
  • Periodic data refresh to capture updated announcements
  • User feedback mechanism to flag errors

We may change AI models, providers, prompts, or methods over time to improve quality.

§10. Cookies and Local Storage

Grantranslator uses cookies and browser local storage strictly for functional purposes. We do not use tracking cookies, advertising cookies, or third-party analytics cookies.

Cookies:

  • gt_session — HTTP-only authentication session cookie, set when you sign in. Attributes: Secure; SameSite=Lax. Expires with your session.

Local Storage (browser-local, never sent to our servers):

  • mantine-color-scheme-value — Your theme preference (light, dark, or auto).
  • grantranslator-shortlist — Your bookmarked grants and comparison selections, stored locally in your browser.
  • gt-session-id — A random anonymous identifier used to deduplicate gotcha feedback votes. Not linked to your identity.
  • gt-gotcha-votes — Records which gotcha warnings you have voted on, to prevent duplicate votes.
  • gt-consent-v1 — Records that you have acknowledged these Terms of Use, with a timestamp.
  • gt_newsletter_dismissed — Timestamp of when you dismissed the newsletter signup prompt. Used to avoid showing the prompt again for 30 days.

Session Storage (cleared when you close the tab):

  • gt_admin_key — Admin API key, entered manually by authorized administrators. Never stored persistently.

We use only strictly necessary cookies and local storage to provide the service you request (authentication, preferences, and basic platform functions). We do not use advertising cookies or cross-site tracking. In jurisdictions where additional consent is required for any of these technologies, we will request it through an in-product notice.

Server-Side Records:

When you acknowledge these Terms of Use, we record your anonymous session identifier, the terms version, your IP address, and browser user-agent string. These consent records are retained for the operational life of the platform for legal compliance purposes.

§11. Accounts and User Data

Account Creation:

You may create an account using a magic-link email sign-in. No password is required or stored. When you create an account, we store your email address and an optional display name. Your email is used solely for authentication and, if you opt in, newsletter delivery.

Data We Store:

  • Your email address and optional display name
  • Your shortlisted grants and saved search filters
  • Your notification preferences (per-search frequency settings)
  • Your newsletter subscription status
  • Session metadata (IP address, user agent, last activity timestamp)

Data Export (Right of Access):

You can export the core data associated with your account at any time from Account Settings. This export typically includes your shortlist, saved searches, preferences, and basic account information in JSON format. If you need additional information (for example, certain security or audit logs), contact us at legal@biostochastics.com.

Account Deletion (Right of Erasure):

You may delete your account from the Danger Zone in Account Settings. When you delete your account, we delete or de-identify the personal data associated with your account (such as your shortlist, saved searches, preferences, and newsletter status).

We may retain limited records where necessary for legal compliance, security, fraud prevention, and to document your Terms acceptance (for example, audit logs and basic consent records). Where retained, we limit access and keep the data only for as long as reasonably necessary for those purposes.

We also send deletion instructions to our email service provider (Resend). Depending on Resend’s systems, some minimal data (for example, suppression lists used to honor unsubscribe requests) may be retained by them for compliance purposes.

We do not sell, share, or transfer your personal data to third parties for marketing purposes. Your data is used solely to provide the Grantranslator service.

§12. Newsletter and Communications

You may subscribe to a weekly digest of new grant opportunities. You can subscribe from the Account Settings page (if signed in) or via the inline signup form on the browse page (with an email address).

Third-Party Email Service:

Newsletter delivery is handled by Resend, a third-party email service provider. When you subscribe, your email address is shared with Resend for the sole purpose of delivering newsletters. Resend’s privacy policy governs their handling of your data.

Unsubscribing:

You can unsubscribe at any time from your Account Settings page or via the unsubscribe link included in every newsletter email. Resend provides a preference page where you can manage your subscription topics or opt out entirely.

Saved Search Alerts:

You may enable per-search email notifications for saved searches. These alerts are sent at the frequency you choose (daily or weekly) and can be toggled on or off individually from your Account Settings.

§13. Subscriptions and Billing

Premium Features:

Certain features — including Grant Alerts (personalized semantic matching), expanded opportunity tracking (beyond 3), and change notifications — require a paid subscription. Free users retain access to search, browse, weekly digest, and limited tracking.

Payment Processing:

Payments are processed by Stripe. We do not store your payment card details. Stripe’s privacy policy and terms of service govern payment processing.

Cancellation:

You may cancel your subscription at any time via the Stripe Customer Portal accessible from your Account page. Upon cancellation, premium features remain available until the end of your current billing period. Tracked opportunities beyond the free limit will become read-only but will not be deleted.

Account Deletion:

Deleting your account automatically cancels any active Stripe subscriptions. No further charges will be incurred after account deletion.

§14. Grant Data Availability and Retention

Grant Opportunity Data:

Closed grant opportunities may remain visible on the platform for a limited period after their application deadline passes. Closed opportunities may contain outdated information and are identified with a status indicator. Do not rely on closed opportunity data for current planning. We may remove or archive opportunities at any time without notice.

Personal Data Retention:

Account data (email, display name, shortlist, saved searches, preferences) is retained until you delete your account (see §11). Session metadata (IP address, user-agent) is retained for 90 days after session expiry for security purposes. Terms acceptance records are retained for the operational life of the platform for legal compliance. Newsletter subscription data is retained until you unsubscribe or delete your account.

§15. Intellectual Property

Government Data:

Federal grant opportunity data is generally sourced from U.S. government databases. Works of U.S. government employees are typically in the public domain under 17 USC § 105. However, some grant-related documents may incorporate third-party content with separate copyright protections.

AI-Generated Content:

Summaries, keywords, classifications, and Gotcha Warnings are generated by automated AI systems. We make no copyright claim over AI-generated content, but provide it without any warranty as to accuracy, completeness, or fitness for any purpose.

Platform:

The Grantranslator name, logo, and user interface design are proprietary. You may link to the platform but may not frame, systematically scrape, or replicate the interface without permission.

§16. Acceptable Use

The Platform is intended for use by professional researchers and administrators aged 18 and older. By using the Platform, you represent that you meet these requirements.

You agree not to: (a) use automated systems to systematically scrape, copy, or overload the platform; (b) misrepresent any affiliation with a government agency in connection with your use of this platform; (c) redistribute platform content in a manner that implies government endorsement; (d) attempt to compromise platform security or interfere with its operation.

§17. Changes to Terms

We may update these terms at any time. Changes take effect upon posting with an updated “Last Modified” date. Material changes will be announced via a notice on the platform. Continued use of the platform after changes are posted constitutes your acceptance of the revised terms. We may be unable to notify all users individually of changes.

§18. Severability and General Provisions

If any provision of these terms is found to be unenforceable, the remaining provisions continue in full force and effect. These terms constitute the entire agreement between you and Grantranslator regarding use of the platform. These terms do not create any third-party beneficiary rights. Our failure to enforce any provision does not constitute a waiver.

§19. Privacy, Data Hosting, and International Transfers

Grantranslator is operated by Biostochastics (Washington, USA). Personal data is hosted in the European Union, in Frankfurt, Germany (Hetzner VPS and PostgreSQL database). Our frontend is delivered via Vercel using the Frankfurt region.

What Personal Data We Process and Why:

  • Account data (email address, display name) — to provide the service (contract performance)
  • Account features (shortlists, saved searches, notification preferences) — to provide the service (contract performance)
  • Newsletter preferences — to send digests you opt into (consent)
  • Security and operational data (IP address, user-agent, timestamps) — to secure the platform (legitimate interest)

Service Providers (Sub-processors):

  • Hetzner (Germany) — Server hosting and database
  • Vercel (US company, Frankfurt region) — Frontend delivery
  • Resend (US) — Email delivery (magic-link auth and newsletter)
  • Anthropic (US) — AI analysis of grant documents (summaries, classifications, Gotcha Warnings). If conversational chat features are introduced, they will also use Anthropic or similar LLM providers. We do not send user account information, search history, or shortlists to AI providers; only public grant opportunity text is processed.
  • Cohere (US/Canada) — Embedding models for semantic search and Grant Alert profile matching. Only public grant text and your profile synopsis (which you provide) are sent; no other personal data is shared.

International Transfers:

Although our primary hosting is in the EU, Biostochastics and certain vendors are based in the United States. This can involve transferring or permitting access to personal data from outside the EU/EEA (for example, sending newsletter emails via Resend or administrative access from the U.S.). Where required under applicable law, we rely on appropriate safeguards for such transfers, including EU Commission-approved Standard Contractual Clauses, and limit access to what is necessary to provide and secure the service.

Your Rights:

If you are located in the EEA, UK, or Switzerland, you may have rights under applicable data protection law (including access, rectification, erasure, restriction, portability, and objection). You also have the right to lodge a complaint with your local supervisory authority.

§20. Governing Law and Contact

These terms are governed by the laws of the State of Washington, USA, without regard to conflict of law principles, except where mandatory consumer protection or data protection laws apply. Nothing in these terms limits any rights you may have under applicable privacy laws (including GDPR where applicable).
